AI TUTORIAL

🧠 Master Google’s New AI Meeting Scheduler in Gmail and Calendar

Google has introduced a powerful Gemini-powered feature called "Help me schedule" that simplifies the process of setting up one-on-one meetings directly from Gmail. This tool uses AI to analyze your calendar availability and email context to suggest ideal meeting times, all without needing to leave your inbox.

This step-by-step tutorial walks you through how to use it.

What You Need

  • A Gmail account

  • Access to Google Calendar

  • Gemini AI features enabled (available with Google Workspace)

Step-by-Step Guide

1. Open Gmail and Start a New Email

Go to Gmail and click “Compose” to start a new message.

2. Click “Help me schedule”

Just below the email composition box, click the “Help me schedule” button. This will open the scheduling tool.

3. Review Suggested Time Slots

Gemini will analyze your Google Calendar and suggest available times. If your recipient mentioned preferences in the email, such as a 30-minute meeting, the AI will tailor its suggestions accordingly.

4. Edit Your Availability (Optional)

Click the edit option to customize the suggested time slots. You can remove, adjust, or add new options before sharing them.

5. Insert Times into Your Email

Once you're satisfied with the options, click to insert them into the body of your email.

6. Send the Email

Send the email as usual. The recipient will see your suggested times and choose the one that works best for them.

7. Calendar Invite is Automatically Created

Once they select a time, the event will be added to both of your calendars without any additional steps.

Why This Feature Matters

  • Integrates Gmail and Google Calendar for faster scheduling

  • Uses Gemini AI to understand email context and suggest relevant times

  • Eliminates the need for third-party scheduling tools for one-on-one meetings

  • Automatically creates calendar invites once a time is chosen

Additional Google Workspace Updates

  • Nano Banana: A new AI image editing model

  • Gems: Shareable custom AI assistants

  • NotebookLM: Support for new content formats

  • Google Vids: Enhanced AI-driven video creation

  • Google Keep: Reminders now sync automatically with Google Tasks
