NINJA AI TOOLS

🥷 The AI Tool That’s Quietly Powering Thousands of Workflows

Most AI tools promise to “boost productivity,” but few offer something truly operational. TextCortex is one of the more grounded platforms we’ve seen—especially if you’re looking to actually do things with your internal company knowledge.

At its core, TextCortex helps teams build custom AI agents that can automate knowledge work—think drafting reports, surfacing insights from data, writing outreach emails, or summarizing messy documents. You can feed it your company’s data, tune the tone and purpose, and spin up AI copilots that live in your workflows.

🔍 Key Features

  • Custom AI agents for specific workflows

  • Enterprise-wide search across your internal knowledge base

  • Browser extension + integrations for 30,000+ tools (no need to leave your workspace)

  • Data transformation: Summarization, labeling, understanding

  • Multilingual content creation & translation

  • Secure by design, with enterprise compliance in mind

💡 Real-World Uses

Let’s say you’ve got a pile of unstructured documents—notes, PDFs, Slack threads—and need a summary to brief your team. Or maybe you’re a marketing lead juggling multilingual content creation across regions. Or you're doing outreach and need dozens of personalized emails that still sound like a human wrote them.

TextCortex agents can take over these kinds of tasks—without needing your team to prompt-engineer every request.

👥 Who It’s Best For

  • Enterprise teams that want to unify knowledge + automate

  • Marketers doing content ops, outreach, or repurposing

  • Freelancers & consultants juggling multiple clients and documents

  • Students or researchers processing large info sets (summaries, translation)

If you’re looking for a way to apply generative AI to actual workflows (not just generate blog intros), TextCortex is worth a look.

AI TUTORIAL

🧠 How to Unlock the Power of Custom Instructions in ChatGPT

Most ChatGPT users overlook Custom Instructions — a feature that, once set up, saves you time and dramatically improves the relevance of responses. Follow this guide to set it up in under 5 minutes.

1. Why Custom Instructions Matter

  • Without setup, ChatGPT starts each conversation as a blank slate.

  • You end up re-explaining your role, goals, and preferences.

  • Custom Instructions let you define these once so ChatGPT automatically knows them every time.

👉 Think of it as giving ChatGPT a permanent briefing about who you are and how it should help you.

2. How to Access Custom Instructions

  1. Open ChatGPT.

  2. Look for your profile picture in the bottom-left corner.

  3. Click Settings from the dropdown menu.

  4. Select Personalization in the menu.

  5. Find Custom Instructions and toggle it on.

  6. Fill out the text boxes provided:

    • What should ChatGPT call you?

    • What do you do?

    • What traits should ChatGPT have?

    • Anything else ChatGPT should know about you?

💡 Tip: Paid users can enter longer, more detailed instructions than free users — useful if you have complex roles or multiple use cases.

3. Copy-and-Paste Prompts for Custom Instructions

Here are three ready-to-use templates you can paste directly into your setup.

A. Voice & Audience Card

(Paste under: “Anything else ChatGPT should know about you?”)

Role & audience: I'm a [job/role] writing for [target audience].
Voice: [concise/direct/data-driven], no hype, no unnecessary jargon.
Structure: Lead with key takeaways, use clear H2 sections, make everything skimmable with bullet points and short paragraphs.
Constraints: Aim for ≤ [N] words unless I specify otherwise. Define acronyms on first use. When citing facts or stats, include 1–2 trustworthy sources.

B. Clarify → Outline → Deliver

(Paste under: “What traits should ChatGPT have?”)

If my request is ambiguous or missing key details (goal, audience, constraints, context), ask up to 3 specific clarifying questions, otherwise skip questions and proceed.
Then show a 3-bullet "Approach" outlining your plan, followed by the full answer.
End each response with "Assumptions" (bulleted list) and "Next steps" (2–3 concrete suggestions).

C. Auto Follow-Ups Mode

(Paste under: “What traits should ChatGPT have?”)

End every response with:
- "What I need from you": 1–2 targeted questions to improve my next answer
- "Suggested next step": 1 concrete action you can take immediately

If I say "coach me," switch to asking one question at a time about my workflows and goals, then suggest 2 obvious + 2 creative ways to apply AI to my situation.

4. Keep It Fresh

  • Review and update your Custom Instructions every couple of months.

  • Adapt as your work, priorities, or communication style changes.

5. The Payoff

  • One-time setup → long-term value.

  • Every response will feel tailored to your role, goals, and style.

  • You’ll spend less time re-explaining and more time getting high-quality, actionable answers.

In summary: Set up Custom Instructions once, and ChatGPT becomes a context-aware partner that “remembers” how to best help you.
